Are electronic documents accepted at DOT roadside inspections?
For documents governed by the Federal Motor Carrier Safety Regulations in 49 CFR Parts 300 to 399, federal rules permit electronic methods when the required conditions are met. CVSA guidance confirms those covered documents are acceptable during roadside inspections.
What the federal rule says.
Section 390.32 allows people and organizations to use electronic methods for documents required by 49 CFR Parts 300 to 399. The electronic document must accurately reflect the required information and be capable of being retained and accurately reproduced within the required timeframe.
What roadside inspectors are told.
CVSA’s inspection bulletin states that electronic documents required by those federal parts are acceptable during roadside inspections. They must contain the required information, including signatures where applicable, and remain legible.
Do not retype a paper document.
CVSA distinguishes an electronic copy from a newly created form. Typing information from a paper document into another form creates a new document. Upload a legible scan or photograph of the actual document.
Upload the complete original. Keep it current. Make sure the driver can display it clearly.
